Who we are
ZaphyrRecruit is a specialist recruitment firm. We connect candidates with roles at our client companies across go-to-market, technology and leadership functions.
This policy explains what personal information we collect through zaphyrrecruit.com, why we collect it, who we share it with, and the choices you have.

The short version
- If you apply for a role or send us your CV, we use that information to consider you for work and to introduce you to employers.
- We share candidate details, including your CV, with the client company hiring for the role you applied to. That is the point of using a recruiter, but you should know it before you apply.
- We do not sell your personal information.
- We use analytics and session-recording tools that record how visitors move around this website.
- You can ask us what we hold about you, ask us to correct it, or ask us to delete it, at any time.
Information we collect
If you are a candidate
When you apply for a role, submit your CV speculatively, or sign up for job alerts, we collect:
- Your name, email address and phone number
- Your location, and your LinkedIn profile address if you give it
- Your CV or resume, and everything contained in it — which typically includes your work history, education, qualifications and previous employers
- Anything you tell us in the free-text fields of an application
- The role you applied to, and our internal reference for it
- Your job function and location preferences, if you sign up for alerts
- A record of your consent, including when you gave it
We may also record notes from conversations with you — for example, what kind of role you are looking for, your notice period, or your salary expectations — so that we can match you to suitable work without asking you the same questions repeatedly.
We do not ask for, and ask that you do not send us, information about your health, racial or ethnic origin, religious beliefs, sexual orientation, political opinions, or any other sensitive category. If your CV happens to contain information like this, we will not use it to make decisions about you.
If you are a client or a prospective client
We collect the business contact details you give us — your name, job title, company, email address and phone number — along with the details of any roles you ask us to fill.
If you simply visit the website
We collect information about how the site is used. This includes your IP address, browser and device type, the pages you visit, how you arrived at the site, and how you interact with pages — including mouse movement, scrolling and clicks.
How we use your information
For candidates, we use your information to:
- Assess your suitability for the role you applied to
- Introduce you to the client company hiring for that role
- Consider you for other roles that may suit you
- Contact you about opportunities, your application, or job alerts you asked for
- Keep a record of applications we have received
For clients, we use your information to provide recruitment services, to discuss roles you are hiring for, and to send you information about our services.
For everyone, we use website information to keep the site secure, understand what visitors find useful, fix problems, and improve how the site works.
Who we share it with
Client companies. If you apply for a role, we share your application and CV with the employer hiring for it, so they can consider you. Where a role is advertised confidentially, we will tell you which company it is before we send anything on your behalf.
We may also send your CV to other clients where we think a role could suit you. If you would rather we did not, tell us at ops@zaphyrrecruit.com and we will not.
Service providers. Companies that provide the infrastructure this business runs on — web hosting, email delivery, analytics, and security services. They process information on our instructions and are not permitted to use it for their own purposes.
Legal and safety. Where we are required to by law, or where it is necessary to protect our rights, our people, or the security of our systems.
We do not sell your personal information, and we do not share it with third parties for their own advertising.
Cookies, analytics and session recording
This site uses cookies and similar technologies for three purposes:
Essential. Making the site work — page delivery, form submission, and security. These cannot be turned off without breaking the site.
Analytics. We use Google Analytics to understand how many people visit, which pages they read, and how they found us. This tells us what to write more of.
Session recording. We use Microsoft Clarity, which records how visitors interact with pages — mouse movement, scrolling, clicks and page navigation — and replays those sessions to us so we can see where the site is confusing. These recordings are of on-page behaviour. They do not capture the contents of password fields, and we do not use them to identify individual people.
You can block or delete cookies through your browser settings, and you can opt out of Google Analytics using Google’s browser add-on. Blocking cookies may stop parts of the site working.
How long we keep it
We keep candidate information for 24 months from your last contact with us, after which it is deleted. We keep it for that long because recruitment is a long cycle — the right role for you often appears months after you first get in touch.
You can ask us to delete your information sooner, at any time, and we will.
We keep client and business records for as long as needed to provide our services and to meet our legal and accounting obligations.
Your choices and your rights
You can ask us at any time to:
- Tell you what personal information we hold about you
- Give you a copy of it
- Correct anything that is wrong or out of date
- Delete it
- Stop sending you job alerts or marketing (every email we send also has an unsubscribe link)
- Stop sending your CV to clients
To do any of these, email ops@zaphyrrecruit.com. We will respond within 45 days. If we need longer, we will tell you why and when to expect an answer. We may need to verify your identity first, so that we do not disclose your information to somebody else.
Exercising any of these rights costs you nothing, and we will not treat you differently for doing so.
If you are a California resident
California law gives you specific rights over your personal information: the right to know what we collect and why, the right to a copy of it, the right to correct it, the right to have it deleted, and the right not to be discriminated against for exercising any of them.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
To exercise any of these rights, email ops@zaphyrrecruit.com. You may use an authorised agent to make a request on your behalf; we will ask for proof that you authorised them.
Security
CVs and application details are stored on access-controlled systems, and access is limited to the people who need it to do their work. Files you upload through this site are not reachable from the public web: they cannot be opened by anyone who has not signed in to our systems. The site runs over an encrypted connection and is protected by a web application firewall.
No system is perfectly secure, and we cannot guarantee that information sent over the internet is completely safe. If we become aware of a breach affecting your information, we will tell you and any regulator we are required to notify.
Visitors from outside the United States
We operate in the United States and our systems are located there. If you contact us from elsewhere, your information will be transferred to and processed in the United States, where data protection law may differ from your own country’s.
Children
This site and our services are for people of working age. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, email ops@zaphyrrecruit.com and we will delete it.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the top. If the change is significant, we will make that clear rather than relying on you to notice.
